Accessing the Meeting Compliance Report
Overview
The Meeting Compliance Report provides a visual representation of meeting performance across three key metrics: compliance, effectiveness, and participation. This report helps managers and administrators monitor whether meetings are being conducted according to organizational standards and targets by displaying actual performance against predefined targets over a specified period. The report uses charts and a summary table to highlight trends and identify areas requiring attention.
The report is particularly useful for tracking meeting quality, ensuring accountability in meeting practices, identifying patterns in meeting performance, monitoring compliance with organizational meeting standards, and supporting continuous improvement in meeting effectiveness.
Note: Users need the View Meeting Compliance Report permission enabled in their role under Reports to be able to access and use this report. If you cannot view this report, please contact your system administrator to verify your permissions.
Accessing the Meeting Compliance Report
To access the Meeting Compliance Report:
- Navigate to the Reports module from the top navigation bar
- Select Meeting Compliance from the Meetings group

- The report will display with default filters applied (Report Date set to today's date and Periods set to 7), showing charts and a summary table
Understanding the Report
The Meeting Compliance Report consists of a summary table and three performance charts displaying compliance, effectiveness, and participation metrics.
Summary Table
At the top of the report, a summary table displays:
- Column Headers: Dates representing each period in the reporting timeframe
- Row Metrics:
- Compliance: Indicates whether the actual compliance percentage met the target for each period
- Effectiveness: Indicates whether the actual effectiveness percentage met the target for each period
- Participation: Indicates whether the actual participation percentage met the target for each period
- Status Indicators: Color-coded circles showing performance status:
- Red: Actual performance did not meet the target
- Green: Actual performance met or exceeded the target (when applicable)
Performance Charts
The report displays three separate charts, one for each metric:
1. Compliance Chart
- Line Chart (Blue): Represents the target compliance percentage over time
- Bar Chart: Represents the actual compliance percentage for each period
- Green bars: Actual compliance met or exceeded the target
- Red bars: Actual compliance fell below the target
- Y-axis: Compliance percentage (0-100%)
- X-axis: Date periods
2. Effectiveness Chart
- Line Chart (Blue): Represents the target effectiveness percentage over time
- Bar Chart: Represents the actual effectiveness percentage for each period
- Green bars: Actual effectiveness met or exceeded the target
- Red bars: Actual effectiveness fell below the target
- Y-axis: Effectiveness percentage (0-100%)
- X-axis: Date periods
3. Participation Chart
- Line Chart (Blue): Represents the target participation percentage over time
- Bar Chart: Represents the actual participation percentage for each period
- Green bars: Actual participation met or exceeded the target
- Red bars: Actual participation fell below the target
- Y-axis: Participation percentage (0-100%)
- X-axis: Date periods
Note: Meeting targets for compliance, effectiveness, and participation are configured in Administration > Meeting Targets.
Report Filters
The Meeting Compliance Report includes several filters to customize the data displayed. These filters appear in the Filter panel on the right side of the screen when you click the Filter button.
Applying and Clearing Filters:
- Click the Filter button (top-right corner) to apply your selected filter criteria
- Click the Clear button to reset all filters to their default values
- Applied filters will update the summary table and all performance charts
Available Filters:

Site
- Select the specific site to view meeting compliance data for that location
- Default setting shows "All" sites
- Allows you to focus on meeting performance from specific organizational sites
Portfolio
- Select the specific portfolio or department to view
- Allows you to focus on meeting compliance from specific organizational areas
Meeting
- Filter by specific meeting names
- Default setting shows "All" meetings
- Useful for analyzing compliance for particular meetings
Participants
- Filter by specific meeting participants
- Default setting shows "All" participants
- Helps track meeting performance for specific individuals
Report Date
- Select the end date for the reporting period
- Default setting is today's date (format: DD/MM/YYYY)
- The report will display data for the specified number of periods leading up to this date
Periods
- Specify the number of periods (weeks) to include in the report
- Default setting is 7 periods
- Determines how many data points are displayed on the charts and summary table
Tags
- Filter meetings by associated tags
- Type to search for tags and press Enter to add
- Useful for analyzing compliance for meetings with specific classifications or categories
Downloading the Report
The Meeting Compliance Report can be exported for offline viewing, sharing, or further analysis:
- Click the Download button in the top-right corner of the report
- Select your preferred format:
- PDF: For viewing and sharing as a formatted document
- Excel: For further analysis and data manipulation
- The downloaded file will include all currently applied filters, the summary table, and all performance charts
The export allows you to:
- Share the report with stakeholders who may not have system access
- Track meeting performance trends over time by saving periodic exports
- Create presentations or executive summaries using the exported data
- Conduct detailed analysis on meeting compliance patterns
- Maintain historical records of meeting performance
Best Practices
- Review the report regularly to monitor meeting compliance trends and identify areas requiring improvement
- Use the summary table to quickly identify periods where targets were not met across all three metrics
- Analyze red bars in the charts to understand when and why performance fell below targets
- Compare the three metrics to identify whether issues are isolated to one area (e.g., participation) or systemic across all metrics
- Adjust the Periods filter to view longer-term trends or focus on recent performance
- Filter by Portfolio or Site to identify specific areas of the organization that may need additional support or training
- Use Meeting filters to analyze compliance for specific meetings and identify which meetings consistently meet or miss targets
- Filter by Participants to track individual or team performance in meeting compliance
- Review target settings in Administration > Meeting Targets to ensure they remain appropriate and achievable
- Download and archive reports periodically to maintain historical records of meeting performance
- Use the report in management meetings to discuss meeting quality and identify improvement opportunities
- Investigate red periods by drilling down into specific meetings to understand root causes of non-compliance
- Set improvement goals based on the data and track progress over subsequent reporting periods
