Overview

A sequence is a default numbering system for both Ideas/Initiatives and KPIs, determined by the selection of the department. This feature allows a KPI or Idea/Initiative code to be automatically assigned when an idea or KPI is created, eliminating the need for manual code entry.


To create/edit KPI or Idea Sequences:


For PMO instances on Site level:

  1. Navigate to Portfolio and click on Portfolio Management
  2. Select the Site level to create the KPI or Idea Sequences for
  3. Click on Configuration to configure the sequences
  4. Click on Sequences
  5. Once the sequences have been edited or configured, click Save


For CI instance on Site level:

  1. Navigate to Administration and click on Organisational Structure
  2. Select the Site level to create the KPI or Idea Sequences for
  3. Click on Configuration to configure the sequences
  4. Click on Sequences
  5. Once the sequences have been edited or configured, click Save

Adding and/or Editing a Sequence

  1. To add a new sequence, click on +Add at the bottom of the sequence table. Enter the name of the sequence and click the +Add button located on the right side of the screen (Only the name of the sequence is a required field). This will add the new sequence to the sequence table

  2. Once the Add button has been selected, the newly added sequence will appear on the sequencing table. You can now add/edit the Prefix, Suffix, Counter, Increment and Padding of the sequence.


    1. Prefix: if applicable, enter the first letters that will appear on the KPI/Idea code.
    2. Suffix: if applicable, enter the last letters that will appear on the KPI/Idea code.
    3. Counter: This represents the last number in the sequence. For example, if the counter number is 100, the last KPI or initiative created will include the number 100 in its code. Please note that the counter will automatically increase by one digit if an initiative or KPI is created beyond the current counter number.
    4. Increment: defines the increments by which the sequence will increase. For example, an increment of 1 means the sequence will increase by 1 digit from the last KPI/Idea created. Whereas an increment of 2 means the sequence will increase by 2 digits from the last KPI/Idea created.
    5. Padding: this will be the number of characters you would like the number in the sequence to maintain. i.e. padding of 3 will result in the first sequence being 001.
    6. You can remove a sequence from the list by clicking on the bin icon to the right of the sequence.
    7. Once the sequence has been created/edited, click Save.

Once these sequences are created, they can be assigned to an organisation/portfolio structure and will be used to determine the KPI or Idea code when assigned to that organisation/portfolio structure
