Overview

The KPI Actual Details report provides a comprehensive list of all KPIs in the system along with their most recent actual values and associated details. This report helps users track and monitor KPI performance by displaying the latest captured actual values, who uploaded them, and when they were recorded. The report is particularly useful for auditing data entry, verifying KPI updates, and ensuring data quality across the organization.

Note: Users need the KPI Actual Detail permission enabled in their role under Reports to be able to access and use this report. If you cannot view the KPI Actual Details report, please contact your system administrator to enable the permission for your role.



Accessing the KPI Actual Details Report

To access the KPI Actual Details report:

  1. Navigate to the Reports module from the top navigation bar
  2. Select KPIs Actual Details from the list of available reports within the KPI group
  3. The report will display with default filters applied

Understanding the Report

The KPI Actual Details report displays a table with comprehensive information about each KPI's most recent actual value.

Report Header Information:

At the top of the report, you will see:

  • Filters selected from the Filter panel
  • From: The start date for the report period 
  • To Date: The end date for the report period



Details Summary:

Below the date range, a summary section displays:

  • Total KPIs: The total number of KPIs in the system
  • Total Uploaded KPIs: The number of KPIs that have been uploaded 
  • Completed: The percentage of KPIs with uploaded values

Table Columns:

  • Code: The unique identifier code assigned to the KPI
  • Name: The name of the KPI
  • Portfolio: The portfolio/department/site to which the KPI belongs, including the full organizational hierarchy
  • Value Date: The date on which the actual value was captured
  • Unit of Measure: The measurement unit for the KPI (e.g., $, km/h, kWh/m 2, %, kW, Hrs)
  • Actual Value: The most recent actual value that was captured for the KPI
  • Uploaded By: The name of the user who uploaded or captured the actual value


Report Filters

The KPI Actual Details report includes several filters to customize the data displayed. These filters appear in the Filter panel on the right side of the screen when you click the Filter button.

Available Filters:

Search

  • Enter text to search for specific KPIs by code or name
  • Helps quickly locate particular KPIs in the list

Portfolio

  • Select the specific portfolio or site to view
  • Include Descendants checkbox: When enabled, includes all sub-portfolios and departments under the selected portfolio
  • Allows you to focus on KPIs from specific organizational areas

From Date

  • The start date for the report period
  • Format: YYYY/MM/DD (e.g., 2024/01/01)
  • Filters KPIs based on when actual values were captured

To Date

  • The end date for the report period
  • Format: YYYY/MM/DD (e.g., 2025/16/10)
  • Filters KPIs based on when actual values were captured

Applying and Clearing Filters:

  • Click the Filter button to apply your selected filter criteria
  • Click the Clear button to reset all filters to their default values

The filters applied are displayed at the top of the report.


Downloading the Report

The KPI Actual Details report can be exported for offline viewing, sharing, or further analysis:

  1. Click the Download button in the top-right corner of the report
  2. The report will be exported in Excel format
  3. The downloaded file will include all currently applied filters and all visible KPI data

The Excel export allows you to:

  • Perform additional analysis on the data
  • Share the report with stakeholders who may not have system access
  • Track KPI updates over time by saving periodic exports
  • Create custom reports or dashboards using the exported data
  • Audit who has been updating KPI values and when


Best Practices:

  • Check the report regularly to ensure KPIs are being updated consistently
  • Use the date filters to focus on recent updates or specific time periods
  • Download and archive reports to maintain historical records of KPI updates
  • Compare the Total KPIs with Total Uploaded KPIs to identify gaps in data capture
  • Use the search function to quickly locate specific KPIs for verification
